How to Get Court Records
Matagorda County has no single counter for every court record. The District Clerk holds files from the 23rd and 130th District Courts. Those courts cover felony, major civil, family, juvenile, and child-protection matters. County-level criminal, civil, probate, and mental-health records sit with the County Clerk. Each Justice of the Peace office keeps its own lower-court file. Bay City and Palacios citation records stay with their municipal clerks.
Begin on the county's official Public Record Search page. It separates Judicial Records from civil, family, probate, jail, property, and historical-index services. The Judicial Records route points to the county-linked Odyssey Public Access service. It can present a login or access barrier. Do not count on every document or search field. The statewide re:SearchTX portal is another route for participating cases and filings. Registration may be required. Coverage varies.
The record may not be online. In that case, contact the right clerk by phone, email, mail, or at the counter. The District Clerk sits in Room 307 of the courthouse at 1700 7th Street, Bay City. Reach the office at (979) 244-7621 or dclerk@co.matagorda.tx.us. The County Clerk is in Room 202, reachable at (979) 244-7680 or coclerk@co.matagorda.tx.us. Both keep weekday hours of 8 a.m. to 5 p.m. They close from noon to 1 p.m.
Two Matagorda Court Record Custodians
The right clerk matters more than the search tool. A statewide result may display a District Court cause. The file still belongs to the District Clerk. A misdemeanor, probate, or mental-health file in a county-level court goes to the County Clerk. Traffic and fine-only cases often stay with a JP or municipal clerk. For routing, your best clue is the court name. It appears on an order, citation, or docket result.

The District Clerk page covers district-record custody, forms, and fee resources. Follow the County Clerk instructions for a county case. Sending a district form to the County Clerk can slow the request. The JP3 page shows the separate Palacios-area route.

Types of Matagorda Court Records
Think of the docket sheet as the event list. Behind it sits the case file: pleadings, motions, notices, orders, judgments, exhibits, and other papers. A certified copy is a clerk-authenticated reproduction of one named document. These layers do not swap. A portal may show a filing date and description without the filing itself. A screen print is never a certified copy.
Older County Clerk material works through separate finding aids. Property-record coverage runs from 1955 to the present. Historical index books span 1837 through 1956. The probate index starts in 1932. Those ranges cover the indexes, not a promise that every original page downloads. For historical or genealogical work, note the index reference and ask how to inspect or order the instrument beneath it.
Matagorda Court Record Request Form
The District Clerk's 2025 Civil-Family-Criminal Record Request Form turns a vague inquiry into a real document order. It wants the cause number and court number. Case style, requested document, copy count, and certification choice come next. Requester contact details and the request date round it out. Up to three document blocks may be listed. Each block carries its own certification selection.
- Copy the cause number and case style exactly.
- Name the court and each requested document.
- Choose paper or electronic delivery and state the copy count.
- Mark each item that needs clerk certification.
- Send the current form and allow the published processing window.
The form asks for 24 to 48 hours. That is a local estimate, not a promise. Older, sealed, or County Clerk records can take longer. When the cause number is unknown, search tools can help, but the best request still names the party, the court, the case type, and a likely date range.
What a Court Record Contains
What is inside depends on the case and its access level. The docket gives a compact chronology. The file may hold the full text. That text shows what a party asked for and what the judge ordered. An event label is an index entry, not a stand-in for the document.
| Cause number | The case identifier and best key for a clerk request. |
|---|---|
| Case style | The caption or short title, copied exactly. |
| Filing entry | The date and description of a submitted document. |
| Hearing or setting | A scheduled event that may later change. |
| Order or judgment | A ruling whose exact text may require the filed document. |
| Disposition | A recorded outcome that may not explain later activity. |
A visible filing does not mean anyone granted the request. "Motion filed" records a party's act. The later order records the court's action. The Matagorda County case search process can help you locate a file before ordering it.
Matagorda Court Record Portal Limits
Online access is a finding channel, not proof of a complete file. re:SearchTX can show case, filing, text-in-document, and hearing views for participating records. The county links to Odyssey Public Access. Participation, registration, payment, document format, and access rules all shape what appears. An empty result can mean the wrong court, a spelling variation, delayed indexing, or a protected matter. The official statewide portal illustrates the sign-in route.

The JP4 Markham page provides another precinct-specific route.

Certified Copies and Fees
The District Clerk fee form breaks out separate charges. Delivery, conversion, certification, and staff research each carry their own cost. A certified copy simply means the clerk has authenticated the document you asked for. So confirm you truly need that stamp before paying. When you order, name the exact judgment, order, or filing you want copied.
| District record item | Published fee | Request note |
|---|---|---|
| Paper copy | $1 per page | State the document and count. |
| Electronic copy | $0.10 per page, $1 minimum | Confirm a usable format. |
| Paper converted to electronic | $1 per page | Applies when conversion is needed. |
| Certification | $5 per document | Mark each item to certify. |
| Research | $5 per search | Used when details are incomplete. |
Keep in mind these are District Clerk charges. County Clerk, justice court, and municipal records follow their own fee schedules, so confirm the current form and total before you pay.
Matagorda Court Records Bypass PIA
You do not need a Public Information Act request to see public court records that a Matagorda County clerk holds. That is the county's own stated policy. Any case file belongs with its judicial custodian instead. The written PIA route is meant for non-judicial county records, and it cannot be used to get around a seal, a redaction, or a court-access rule.
Use the clerk first: Ask the District Clerk, County Clerk, JP clerk, or municipal clerk for inspection, a copy, or certification based on the court that owns the case.
The county PIA page spells out this distinction. For an ordinary county record, the published email is mcpir@matagorda.tx.gov. You can also mail or hand-deliver a request. Send it to the County Attorney's PIA Request office in Room 305 at 1700 7th Street. The policy calls for an itemized estimate of $40. None of that changes the direct clerk route for judicial records.
Public Access and Sealed Records
Access to judicial records in Texas runs through Rule of Judicial Administration 12. It generally lets you inspect and copy during regular business hours. Exemptions and the needs of court operations still apply. If access is denied, the denial should tell you why. The rule calls for a written denial within a reasonable time. That means no more than 14 days. You then have 30 days to petition the Office of Court Administration.
Public access is not the same as unrestricted online access. Privacy rules shield Social Security and tax identifiers. Financial-account data, driver-license or passport numbers, birth dates, and certain information about minors are also protected. So a public copy may come redacted. The clerk keeps the unredacted version. Juvenile, child-protection, mental-health, and sealed filings can carry added limits.
Sealed-document route: Use the current sealed-document request form, identify the cause and exact filing, and ask the District Clerk how judge review applies.
Matagorda Court Record Digitization
County budget material lists records-digitization line items and e-filing-fee projections. Procurement records show Odyssey-related spending. Those are signs of a real electronic workflow. They do not prove full coverage. Not every old Matagorda County court record has been scanned or indexed. Retention schedules, historical books, portal participation, and paper holdings still tell part of the story. The JP6 Sargent page posts that office's own case-resolution and contact details.

Chasing an old or missing matter? Save the exact portal result or error message, figure out which court family it belongs to, and call the right custodian. A blank screen proves nothing about whether a case or document exists.
